HOW TO IMPROVE WRITTEN COMMUNICATION SKILLS?

Zigya Academy 0

Have you always felt daunted whenever it comes to writing skills? In school days, even I had a chill run up the spine at the name of the writing skills section. Do you see eye to eye with this formidable feeling of writing? Then, this article entails a lot for you.

Do you know why written communication seems frightening? That is because, unlike verbal communication, written communication isn’t scaffolded by gestures, expressions, posture, and eye-contacts. What this means is that the written word speaks for itself. Concerning which you have to spook life into words with your laborious efforts.

Let me share the seven good habits that aided me to travel from terror to ease at writing. Based on these habits you can roll out a plan and beef up your written communication skills.

Start now!

SEVEN KEEN HABITS TO IMPROVE YOUR WRITTEN COMMUNICATION

1. BE AN AVID READER

Believe it or not, but reading and writing go hand-in-hand. If you are an avid reader, you have manifold benefits that help you polish your written communication skills. Want to know how?

BY reading you not only amplify your vocabulary but bulk up your knowledge spectrum. Reading along with observation aids you to acquire the essence of writing. So, what should you read?

Newspaper, magazine, favorite book- whatever enthralls you, you can read that. Contemporarily, you can also dig deeper into the digital platform like blogs, articles, reviews, and so on. Totally your choice!

2.THINK ABOUT THE READER

Whatever composition of writing you are drafting, that is for a specific reader or multiple readers. Whether it is a decent write-up such as an email or a deep-felt write-up like a book, someone is going to read it.

Therefore, the written composition has to be comprehensible to the reader. You have to draft the write-up or message keeping in mind the reader’s personality and what information they seek. It should be relevant and useful to the reader rather than leaving them astray.

Once you accurately identify with the reader, the context of language, vocabulary, tone, and structure becomes seamless to you. Hence, always perceive the reader before drafting anything.

3. ALWAYS LAY A PLAN

If you are of the conviction that any writer just writes like that, then you may be mistaken. Even an adept writer does proper research and lays out a plan before putting pen to paper or in modern times, cursor to the laptop.

Research strengthens your perspective and thoughts about what you are going to write. Planning is the true manifestation of your write-up. The success of the write-up to a large extent wobbles upon your roll-out plan. The preparation part is inclusive of research as well as formulating an outline followed by bullet points.

4. FIRST DRAFT IS A STEPPING-STONE

Writing or drafting any write-up doesn’t put a full stop to your overall task. Remember, the first draft is a mere draft and a stepping-stone to your actual masterpiece.

So what do you have to do? Once, you have drafted the write-up, read it again, edit, and proofread it before hitting the send or publish button. Put in other words, you have to array and polish your article before ostensibly publishing it.

Thus, take time to integrate and edit the write-up until it is well-structured, fluent, and duly attired to be presented before your readers.

5. REVIEW BEFORE PUBLISH OR POST

So, done with editing. Great! Yet, there is no harm in an additional last-minute review, which can always save you from any embarrassment. Therefore, always double-check these four key points:

  •  spelling,
  • grammar,
  • structure,
  • fluency

To make the process easier, you can also use writing assistant tools like Grammarly and linguix. But let me warn you, nothing is perfect.

6. MAKE A HABIT TO WRITE DAILY

Even if it’s 50 or 100 words, make it a habit to pen down something every day. Anything that rings a bell, you experienced, or are inquisitive about- simply write it up in a diary
.
Moreover, if you could carry a journal and capture the captivating moments of life in your words, there is nothing better than that. In another case, you can simply reflect upon the day and validate your experiences by written exposure in the journal.

7. CONSTRUCTIVE CRITICISM

Not everybody takes criticism in a healthy manner. You may feel peevish or annoyed when someone points out an error in your work. But think over it once, why do you have to take criticism in the dark light? What if you look out at the criticism through a lighted lens. Take it as an opportunity for improvement.

There’s always scope for improvement. Nobody’s perfect, right? Conceiving that, in the offing whenever anyone highlights your mistake, thank them for showing you the light of ray. Unknowingly, they are providing you a gateway for a breakthrough.
